What travels with every container
Some documents are always issued; inspection and insurance depend on the terms you buy on.
Commercial Invoice
The priced contract document, stating Incoterms, currency, payment terms and the agreed specification.
Packing List
Bag count, net and gross weights, marks and container number — the detail your clearing agent checks first.
Bill of Lading
The carrier’s contract and title document. We courier originals ahead of the vessel so clearance is never held up by paperwork.
Certificate of Origin
Certifies that the rice was grown and milled in India — the document your customs authority uses to apply the correct duty.
Phytosanitary Certificate
Issued by the plant quarantine authority, confirming the consignment is free from pests and meets your country’s plant-health rules.
Fumigation Certificate
Records the treatment applied to the container before sealing, with the chemical, dosage and exposure time stated.
SGS / third-party inspection
Independent inspection of quality, weight and loading, arranged on request and paid as agreed in the contract.
Certificate of Analysis
Our laboratory’s results for the shipped lot: moisture, broken percentage, purity and admixture.
Marine Insurance
Cover arranged under CIF terms, with the policy or certificate issued in your name.
When each document appears
Knowing the order matters — most clearance delays come from a document arriving after the vessel rather than from a missing one.
Transit is quoted with the price and confirmed on the booking. Documents are couriered ahead of vessel arrival so clearance is never waiting on paperwork.

After sailing
Bill of Lading, Certificate of Origin, phytosanitary certificate and commercial invoice — originals couriered ahead of arrival.
Originals are couriered ahead of the vessel and scanned copies are emailed the same day they are issued, so your clearing agent can start before the paper lands.
If your market needs a document not listed here, tell us at enquiry stage and we will confirm whether we can issue it.

Who pays for inspection and fumigation?
Fumigation is ours and is included. Third-party inspection is paid by whoever appoints the inspector, and that is agreed in the contract before shipment.
Can documents be issued in our buyer’s name?
Yes — consignee, notify party and invoice details are set from your instructions. Send them at order confirmation so nothing has to be amended later.
What if a document has an error?
Tell us immediately and we correct and re-issue. Most amendments are quick if they are caught before the vessel arrives, which is another reason we send scans early.

FOB · CIF · CFR — your terms, our paperwork
Phytosanitary certificate, certificate of origin, fumigation, SGS inspection, packing list, bill of lading and commercial invoice — prepared in full and couriered ahead of vessel arrival.
